Security workflow system case study at John Wiley & Sons Ltd 2013
John Wiley & Sons Ltd started business back in 1807 when Charles Wiley set up a small print shop in Manhattan. Since then, they have grown to become an International organisation focussing on Global Research, Professional Development and worldwide Educational Journals, Books, Databases, Reference works and online research tools.
The last 13 years has seen business grow from $300 million to current sales of around $1.8 billion.
Having worked as resident security provider to The New Era Estate since 2009 Avantguard Security were experienced and able to take over full security of what would become The European Distribution Centre for John Wiley & Sons.
With a constant stream of visitors, contractors, delivery and collection vehicles, John Wiley & Sons is a large and busy 24 hour operational site comprising of offices, warehouses with advanced sorting and packaging equipment. The task for the John Wiley Facilities team is to organise and structure maintenance, facility and security tasks with a clear reporting structure that informs all relevant teams and managers.
Avantguard carry out 24 hour security on this site and it soon became clear that we could share some of the tasks normally associated with the facilities management and maintenance teams, particularly at night where the officers could combine some of the tasks with their regular patrols.
Now was an ideal time to introduce John Wiley & Sons to GuardTools® – the specialist security PDA based software from Blue Mobile Systems of Sweden – and an integral part of the Avantguard operation.
GuardTools® is used by some of the largest companies in Europe and provides our clients with fast real time analytics and clear concise reporting via computer, tablet or smart phone.
After demonstrating GuardTools® and all its possibilities we started to timestamp all external security patrols by placing special barcodes at specific points around the site with data and incidents now being recorded on the officers PDAs.
Working closely with the Facilities team we then planned the next set of patrols and we soon had the following tasks up and running:
Check Fire Doors and all entry and exit points
Check all Office and Administration utility areas / toilets / sinks for leaks
Check warehouse utility areas / toilets / sinks for leaks
Electronic Access Gate Inspections
Check 140 fire extinguishers (for pressure and to make sure they are all in place)
Checking for roof leaks
Watering the plants, postal duties and more patrols to follow
GuardTools® is now a way of life at John Wiley & Sons European Distribution Centre. We are currently carrying out over 270 different tasks over 18 important patrols. When it’s time to review Insurance and maintenance budgets there is now hard data to extract all the important information needed to plan and decide where best to direct finance.
Easy to read customisable and automated reports means that we can all keep up with this fast growing and developing business.
